MIA WINES AND SPIRITS INTERNATIONAL
Privacy Policy — Customer Sign-ups and WhatsApp Updates
(Effective date: 1st November, 2026)
1. Who we are
MIA Wines and Spirits International (“MIA”, “we”, “us” or “our”) respects your privacy. This policy explains how we collect, use, store and share personal information when you sign up for our customer updates, complete our registration forms or contact us about our events and collaboration opportunities.
The business responsible for your personal information is:
Legal business name: MIA Wines and Spirits International
Business address: 333 Rhapta Road, Nairobi, Kenya
Privacy email: sales@miainternational.co.ke
Telephone/WhatsApp: +254 705 114400
2. Information we collect
Depending on what you choose to provide, we may collect:
- Your name and WhatsApp/mobile number.
- Your email address, if requested and provided.
- Confirmation that you are aged 18 or over.
- Your interests and communication preferences.
- Information you provide when enquiring about tastings, events or collaborations.
- Records of your consent, including when and how you signed up, and any requests to unsubscribe.
- Messages you exchange with us.
We collect this information directly from you, including through our Google Forms, WhatsApp conversations and event registration forms. Please do not submit sensitive personal information through our marketing sign-up form.
3. How and why we use your information
With your consent, we use your contact details to send WhatsApp marketing updates about:
- Our upcoming wine bars and other MIA news.
- Festive season offers and promotions.
- New products and tasting events.
- Collaboration opportunities.
We also use relevant information to respond to enquiries, administer registrations you request, maintain accurate consent and unsubscribe records, protect our systems and comply with applicable legal obligations.
Our legal basis for marketing is your express consent. Where relevant, we process other information to take steps you request before entering a contract, perform a contract, comply with the law, or pursue legitimate interests such as handling enquiries and maintaining secure records, after considering your rights.
4. Your choice and consent
Joining our marketing list is voluntary. You do not have to agree to marketing to make a purchase or enquire about our services.
Scanning a QR code or opening our form does not, by itself, subscribe you. We ask you to provide your details and actively confirm your agreement to receive WhatsApp marketing.
If you do not provide a WhatsApp number or marketing consent, we cannot add you to that list. Fields marked optional are not necessary to subscribe.
Consent to WhatsApp updates does not automatically authorise marketing through other channels or marketing from our collaboration partners.
5. How to unsubscribe
You can withdraw your marketing consent at any time by:
- Replying STOP to our WhatsApp messages; or
- Contacting us at sales@miainternational.co.ke.
We do not charge a fee for unsubscribing. Standard network or data charges from your provider may apply.
We will stop sending you marketing after receiving your request. Withdrawal does not affect the lawfulness of processing undertaken before you withdrew consent.
We may retain a limited record of your opt-out so that we can respect your preference. If you have an existing booking or transaction, we may still send necessary service messages relating to it.
6. Who may receive your information
Access is limited to authorised MIA personnel and service providers who need the information for the purposes described in this policy.
For our sign-up and communication process, these providers include:
- Google, for Google Forms and Google Sheets used to collect and manage responses.
- WhatsApp/Meta, for delivering and managing WhatsApp communications.
These providers may also process certain information under their own privacy policies.
We do not sell our marketing contact list. We will not give collaboration partners your details for their own marketing without your separate consent.
We may disclose information where legally required, to authorised regulators or advisers, or where necessary to establish, exercise or defend legal rights.
7. Processing outside Kenya
Google, WhatsApp/Meta and their service providers may store or process information outside Kenya.
Where personal information is transferred outside Kenya, we will ensure that the transfer meets applicable Kenyan legal requirements, including appropriate safeguards or another permitted transfer basis.
For details of the safeguards applicable to your information, contact sales@miainternational.co.ke.
8. How we protect your information
We use reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure.
9. How long we keep information
We keep personal information only for as long as necessary for the purpose for which it was collected.
Our retention periods are:
- Marketing contact details: [insert retention period and review criteria], unless you unsubscribe sooner.
- Enquiries and event registrations: [insert period after the enquiry or event ends].
- Consent records: for as long as needed to demonstrate consent and meet applicable legal requirements.
- Opt-out records: limited information retained for as long as needed to prevent unwanted future marketing.
Where continued retention is legally required or necessary for a legal claim, we retain only the relevant information. Otherwise, we securely delete or anonymise information when it is no longer needed.
10. Your data-protection rights
Subject to applicable law, you may ask us to:
- Explain how we use your personal information.
- Give you access to your personal information.
- Correct inaccurate or incomplete information.
- Delete your information where the legal conditions apply.
- Restrict or stop certain processing.
- Provide a portable copy of your information where applicable.
You may withdraw consent at any time and object to the use of your information for direct marketing.
Send requests to sales@miainternational.co.ke. We may request proportionate information to verify your identity and will respond within the applicable legal time limits. If we cannot fulfil a request, we will explain why.
You may also complain directly to Kenya’s Office of the Data Protection Commissioner (ODPC) through www.odpc.go.ke. You do not have to complain to us first.
11. Age restriction
Our alcohol-related marketing, tastings and promotions are intended only for people aged 18 or over. We do not knowingly enrol anyone under 18 in our alcohol marketing list.
If you believe a person under 18 has subscribed, please contact us so we can investigate and remove their information where appropriate.
12. Changes to this policy
We may update this policy when our activities or legal obligations change. The latest version will show its effective date. Where a change requires fresh consent, we will request it before using your information for that new purpose.
